Position Summary

The Executive Assistant provides comprehensive, confidential, executive-level proactive administrative support to the Provost and Executive Vice President to include digital calendar management, travel arrangements, and complex meeting coordination and general support to the units reporting to the Provost. S/he serves as the primary contact for the Office of the Provost, fostering a cordial and professional atmosphere for faculty, staff, students, and guests. Work cooperatively with a variety of areas across the institution.

Executive Assistant to the Provost ensures smooth instructional delivery, responsive student services, and compliance with institutional policies. The position also provides comprehensive administrative and facility support, including event and meeting coordination, fiscal record keeping, vendor management, and logistical operations. Through these efforts, the role advances Paine's mission to deliver high-quality workforce training and strengthen community and employer engagement. As the primary first line of contact with potential and current students, Paine instructors, and program stakeholders, integrity, confidentiality, and an ability to periodically work out ide normal business hour a needed is required.

Essential Duties and Responsibilities

Engage and support School Chairs and Instructors.

  • Act as a liaison to Paine College School Chairs and Instructors.
  • Provide front-line logistical support, maintain a working knowledge of offerings, collaborate to develop course schedule, and communicate regularly with instructors to address needs and coordinate requests.
  • Keep the School Chairs and other Office of Academic Affairs apprised of matters, persons, events, and occurrences that may positively or objectively affect the departments.


Engage and support students.

  • Monitor and respond to inbound student inquiries via web, email, and phone.
  • Ensure timely and frequent communication with students, greet students upon arrival and respond to (or e alate) any student needs identified.


Provide front-line administrative support to management and staff.

  • Provide comprehensive front-line administrative support management and staff, ensuring efficient daily operations.


Administer campus events and coordinate related logistical operations.

  • Coordinate the logistics of events, meetings, and programs by scheduling space, arranging catering, securing supplies, marketing activities, preparing agendas, recording and editing minutes, and maintaining documentation.
  • Oversee accounting responsibilities including fiscal record keeping, monitoring and reporting on budget accounts, submitting purchase orders and credit card statements.
  • Coordinate campus visits and tours to support recruitment and engagement efforts.


Liaise and Coordinate with other Paine College divisions, departments and committees.

  • Serve as liaison with multiple Paine College departments to en ure compliance and smooth operations.
  • Support Provost activities by attending committee meetings and events, coordinating communication , managing registrations, and overseeing related program logistics
  • Attend meetings as requested and serve as recorder.
  • Supervise college work-study personnel.
  • Perform other duties as assigned by the Provost and Executive Vice President.

Qualifications

The successful candidate will have:

  • Bachelor's degree required; Master's degree preferred.
  • A minimum of five (5) years office experience preferred.
  • Strong interpersonal skills with students, faculty, and administrators.
  • Proficient in computer skills, self-motivated, able to et priorities and multi-task.
  • Strong written and oral communication skills as well as strong interpersonal skills.
  • Ability to juggle multiple tasks in a fast-paced environment, working independently, while managing conflicting priorities
  • Knowledge of principles and practices of organization, planning, records management administration.
  • Understanding of the culture and mechanics of higher education
  • Ability work extra hours with little or no advance notice.
  • Ability to travel to off-site locations by car or air for events and meetings on occasion.
  • Strong analytical and problem-solving skills
  • Professional working proficiency in English and Spanish strongly preferred.

Work Schedule

  • Monday-Friday 8:30 AM - 5:00 PM.
  • May be required to work occasional nights and weekends.
